East Holland Veterinary Clinic Policies
The following policies have been put in place out of safety and respect for our staff, clients, and patients. Thank you for your understanding and continued trust in our care.
Surgical and Dental Scheduling
Effective September 1, 2025

All surgical and dental procedure appointments at East Holland Veterinary Clinic will require a deposit equal to half of the low end of the estimate at the time of booking.

The deposit will be applied toward the cost of your pet’s procedure.

Cancellations must be made at least 48 business hours before the scheduled appointment date to avoid forfeiture of the deposit.

For cancellations made with sufficient notice, the deposit may be refunded or applied to your account for future use.
This policy allows us to reserve surgical and dental time for pets in need while ensuring our schedule is used efficiently for the benefit of all clients and patients. If you have any questions or need assistance scheduling, please contact us.
New Clients
Effective September 1, 2025

All new clients at East Holland Veterinary Clinic are required to pay the full exam cost of $82 at the time of booking to secure their appointment.

The payment will be applied to your first visit. Cancellations made less than 1 business day (24 hours) before the scheduled appointment will result in forfeiture of the payment. Cancellations made at least 1 business day (24 hours) in advance may be refunded to your original payment method or credited to your account for future use.

A client is considered “new” if:

- We have never seen you as a client in the past, or
- You are a returning client whose last visit was more than 3 years ago.

If you are transferring from another veterinary clinic, we ask that you either:
- Grant permission for your previous veterinarian to share your pet’s medical history with us, or
- Provide a printed or digital copy of your pet’s medical records prior to your first visit.
Providing this information in advance helps our team prepare for your appointment and ensures we can deliver the best possible care for your pet.
Prescription and Online Pharmacy Refills
At East Holland Veterinary Clinic, our mission is to provide excellent, individualized care for every pet and family we serve. Our doctors and support team value the relationship we have with you and strive to deliver comprehensive, personalized treatment that reflects our commitment to quality.
We do not communicate directly with third-party pet medication pharmacies such as Chewy, 1-800-PetMeds, or similar retailers. Instead, we will gladly provide you with a written prescription upon request should you wish to purchase from an outside source.

- Manufacturer product guarantees are voided when medications are purchased through unauthorized channels.
- Many large online pharmacies obtain products through “gray-market” brokers, bypassing the secure supply chain established by manufacturers. This breaks the chain of custody and voids the manufacturer’s warranty.

- Concerns About Storage & Authenticity
- We cannot verify the storage conditions, handling, or authenticity of medications purchased from outside sources.
- Communicating directly with third-party pharmacies could give the impression that we endorse or guarantee their products, which we cannot do without knowing their storage and sourcing practices.

- Third-party pharmacy requests often create lengthy, repetitive administrative processes (faxes, phone calls, and approvals) that take time away from patient care.
- We believe our team’s time is best spent focusing on our patients and serving you directly.

If You Choose an Online Pharmacy
We fully respect your right to choose where you obtain your pet’s medication. If you prefer to purchase from a third-party retailer, we will provide you with a written prescription for pick-up at our hospital. While we cannot email prescriptions, we can mail them to you for a small flat fee if you are unable to pick them up in person.

Late Arrivals
We understand that delays can happen. We offer a 5-minute grace period for unexpected circumstances. If your arrival is more than 10 minutes past your scheduled time, we will do our best to accommodate you with one of the following options:

Being seen as a work-in appointment (as our schedule allows)

Admitting your pet for a day stay (additional cost) so we can see them between scheduled visits

Rescheduling your appointment for another day

Appointment and Surgery Cancellations or No-Shows
Your trust in us to care for your pets means everything. To ensure we can continue delivering exceptional care and accommodating all patients in need, we have introduced a cancellation policy.
Appointments
Cancellations must be made at least 24 hours (1 business day) in advance. If you cancel less than 24 business hours or do not show for your appointment, you will be required to pre-pay the full exam cost ($82) at the time of rescheduling.
Surgeries and Dentals
Cancellations must be made at least 48 business hours in advance. Late cancellations or no-shows will result in forfeiture of the required deposit, which is half of the low end of your estimate.
While we understand that life can be unpredictable and emergencies do occur, these policies help us manage staffing and preparation costs while making it possible to offer your reserved time to another patient who may need it.
How to Reschedule or Cancel
Please contact our office by phone at (616) 392-1835 during business hours to cancel or reschedule your appointment. Thank you for your understanding and for helping us maintain a smooth, efficient schedule so we can provide the best possible care for all of our patients.
Rabies Vaccination
It is the policy of East Holland Veterinary Clinic that all patients (dogs and cats) aged 16 weeks (4 months) and older must be up-to-date on their rabies vaccination in order to receive services at our facility.
This policy is in place to protect the health and safety of our staff, clients, and other animals in our care. Proof of current rabies vaccination must be provided at check-in. If your pet is not current on their rabies vaccine, we are happy to administer the vaccine during your visit if appropriate. We appreciate your understanding and cooperation in helping us maintain a safe environment for everyone.
